Keystone

Keystone is a modular back-office platform for IT and cloud services companies. It covers people and leave, access to cloud consoles, customer service plans with hour tracking, recurring invoicing, contracts and a light CRM.

Who it is for

Small and mid-sized IT and cloud services companies that run on a patchwork of tools and want one system for their people, their customers and their billing.

What it does

People and leave

Employee directory, departments and roles, leave with approval and half days, entitlements that grow with seniority, a calendar and e-mail digests.

Cloud access

Keystone is a SAML identity provider. Employees open the AWS, Huawei Cloud and Azure consoles from one page, with access rules per department or person and deny by default.

Customer plans

Plans with monthly hour budgets, hours synced from your service desk, and low-hours alerts for customers. Period-end reports are ready to print.

Invoicing

Recurring invoice templates create drafts in your accounting system, with exchange rates applied to foreign-currency invoices.

Contracts, CRM and control

Versioned bilingual templates, edited as Word documents in the browser, with the signed copy stored next to the contract. A lead pipeline with tasks, scoring and funnel numbers, and e-mail campaigns with unsubscribe and bounce handling. Roles, an audit log and encrypted secrets cover the control side.

How it works

  1. 01

People log in with their Google Workspace account, and admins hand out roles.

  2. 02

    Connect

Link your customers and their plans, your accounting and the cloud accounts your people use.

  3. 03

    Scheduled jobs

Jobs run on a schedule: they sync worklogs, reset plans, prepare invoices and send reminders, retry on failure and alert the admins.

  4. 04

    Work

Staff request leave, managers approve, finance reviews the drafts, and engineers open cloud consoles from one page.

A services company needs the same things as any other: people, customers, invoices and contracts. They usually end up in several different tools that nobody connects, and someone copies hours from one into another at the end of every month.

Keystone puts them in one modular platform. It also covers something specific to a cloud company: engineers reach the cloud consoles of every customer from one page, with rules about who may enter which.

We wrote Keystone to run Magicorn: our people, our customers’ service plans, our invoicing and our access to cloud accounts.
